Applot ("we," "our," or "us"), an independent Canadian software studio, provides the EyeLog mobile
application ("App"). We are committed to protecting your privacy, safeguarding your optical records, and ensuring
a transparent experience when using our App.
This Privacy Policy explains how we collect, use, disclose, and protect your information when you use EyeLog.
By using the App, you agree to the practices described in this policy.
1. Information We Collect
A. Account Information
- Authentication Data: When you create an account (via Google Sign-In or Email/Password), we collect your email address and generate a unique User ID (UID) through Firebase Authentication.
- Guest Mode: If you use the App anonymously as a guest, a randomized anonymous UID is generated so your records remain private to your device until you choose to link an account.
- Profiles: You may create profiles for yourself, family members, or clients to categorize prescriptions cleanly.
B. Prescription Vault Data
- Optical Parameters: We store the optical parameters you enter or scan, including Sphere (SPH), Cylinder (CYL), Axis, Intermediate Add, Reading Add, Pupillary Distance (Mono PD / Dual PD), Back Vertex Distance (BVD), and Prism coordinates for eyeglasses, as well as Base Curve (BC), Diameter (DIA), and brand details for contact lenses.
- Photo Attachments: You may attach photos of paper prescription slips or lens packaging boxes. These images are stored securely in Google Cloud Storage linked solely to your authenticated account.
- Local Cache & Cloud Synchronization: Prescription records are cached locally on your device for immediate offline access and synchronized securely in real time via Google Cloud Firestore.
C. AI Optical Scanner & Image Processing
Strict Privacy Commitment: Photos processed through EyeLog's AI Prescription Scanner are used solely for in-memory parameter extraction. They are never retained on third-party servers or used to train public AI foundation models.
- Real-Time Extraction: When you capture or upload a prescription slip or packaging photo using the AI Scanner, the image is transmitted via encrypted HTTPS to Google Gemini Vision APIs strictly to perform optical character recognition and field classification (Sphere, Cyl, Axis, Add, PD).
- Zero Training Retention: Images and extracted text are processed ephemerally in-memory. They are not stored, indexed, or utilized for AI model training or machine learning refinement.
D. Analytics and Diagnostic Data
- Firebase Crashlytics: We collect anonymized crash traces, OS version, and diagnostic logs to identify and resolve bugs promptly.
- Firebase Analytics: We measure aggregated, non-identifiable usage patterns (such as feature utilization and navigation flow) to improve user experience. You may opt out in system settings.
2. How We Use Your Information
We process your data strictly to deliver and improve EyeLog's optical utility features:
- To provide, maintain, and secure the App's core vault and calculation capabilities.
- To extract optical prescription parameters automatically from user-captured photos via AI vision.
- To synchronize and backup your records and photo attachments seamlessly across your devices.
- To generate printable branded PDF reports and bulk CSV exports requested by you.
- To manage subscriptions and lifetime license entitlements securely via RevenueCat and Google Play Billing / Apple App Store In-App Purchases.
- To diagnose application errors and maintain system performance.
3. Sharing Your Information
We never sell, rent, monetize, or trade your personal or prescription data. We share information only with trusted infrastructure providers (such as Google Firebase for cloud database, storage, and authentication, and RevenueCat for purchase verification) under strict data protection agreements that prohibit unauthorized use.
4. Data Portability, Retention, and Deletion
- Data Portability: You can export your entire prescription database to standard CSV format or generate individual PDF prescription cards directly from the App at any time.
- Retention: Your data is retained only for the duration of your active account.
- Account & Data Deletion: You have complete ownership of your records. You may delete individual prescriptions at any time. You can permanently delete your entire account and purge all associated cloud data directly inside the App under Settings → Delete Account, or by submitting a request on our Account Deletion Page. This process completely purges your cloud vault and cannot be undone.
5. Security
We utilize enterprise-grade security protocols, including encrypted transit (TLS/HTTPS), strict Firestore role-based access rules, and authenticated tokens, to protect your records from unauthorized access. However, no method of transmission over the internet is completely infallible.
6. Health & Medical Disclaimer
EyeLog is a personal and professional record-keeping and optical calculation utility. It does not perform eye examinations, provide clinical diagnostics, or substitute for professional medical advice from a qualified optometrist or ophthalmologist.
7. Children's Privacy
EyeLog does not knowingly collect personal information from children under the age of 13. If you believe a child has provided us with personal data without parental consent, please contact us for immediate removal.
